Guides and help

New and current staff who want the right steps for the task they are doing today

Search by task and role

Start with the task you are doing now. Each guide states who it is for, what the person will be able to do, and the permission needed in plain words. Each guide follows the same shape: what to have ready, numbered steps with the screen and field names, and what to check after saving.

Getting started paths for advocates, supervisors, partners and administrators

Work through the path for your role in order. Each step can be completed with fictional sample records before you use live records. Demonstration alone is not acceptance. Written approval is recorded after testing.

Advocate

Start a case, then record a service and a note, then send a referral with a consent check. Use the work queue each morning to see visits, messages, follow-ups and referrals due for assigned cases.

Start a case · Record a service · Send a referral

Supervisor

Review the queue for staff you supervise, check duplicate reviews, review consents that are expiring, and run a grant report for the period. Supervisors see team queues and incomplete records for staff they supervise.

Check consent · Run a grant report

Partner staff

Open the partner inbox, read only referrals sent to your agency, accept or decline with a reason, or request more information, then record first connection and warm handoff steps.

Send a referral · Invite a partner · For partners

Administrator

Confirm workspace and programs, invite first administrators, publish intake and consent forms, set backup coverage, run a test intake and a test referral, and record written go or no-go approval.

Set up your workspace · Invite a partner

Safety, consent, referral and reporting guides

Open these guides when a task shares information or prepares a count. The check must pass before sharing can continue. Partner staff see only referrals sent to their agency. Counts use de-identified numbers with no names, addresses, notes or message content.

Safety first

A safe link is single purpose and expires. A PIN or access code is required each session. Device possession alone does not open confidential information. Quick exit and discreet notifications are on every survivor facing page.

Send a safe link · Leave a page safely

Consent, referral and reporting

Check consent scope and expiry before a referral is sent. Track a referral from sent to first connection to closed. Run VAWA and VOCA counts from de-identified records and check small groups before export.

Check consent · Send a referral · Run a grant report · Reports

Questions buyers and administrators ask often

Plain answers for procurement, information technology and compliance reviews. Each answer points to the guide that gives the full steps.

Who can read these guides

Anyone with a browser can read the public guides without an account. Inside the app, each guide states the role that may use it and the permission needed in plain words. Buttons for a task appear only when your role includes that permission, and the server checks the permission again when you save.

Do guides use real survivor data

No. Guides and training use fictional sample records only. Never enter real survivor data in a practice workspace. Never put survivor detail in a help request, a notification or a page title.

What if a required field is missing

The screen stops the save and names the missing field. The guide lists missing sections in order so you can return to them. Where the program allows it, you can record Unknown or Declined during a crisis and complete the record later. A grant count does not use an incomplete record until required fields are added.

How do notifications and page titles stay discreet

Notifications, email subject lines, text previews, page titles and audit detail carry no survivor, program or case detail. A notice says only that something is waiting. Detail stays only inside the secure case and the survivor opens the secure link to read it.

Can these guides be used on a phone or low bandwidth

Yes. Steps use short plain sentences with a label on every field and alt text on every picture. Core pages work without large media and by keyboard. Survivor facing guides teach quick exit first.

Use the same steps inside the app

Guides on this site use the same words as the app screens. For role paths inside the app, open Help and follow the path for your role from sign-in to a completed task.
