Features for day to day victim services
Use this page to find the screen for the task you are doing today. Each section tells you what to open, what to enter and what you will see next.
Case folder, service notes, messages and video visits
Work from one case record. Open the case, log the work you did and keep the next step with the case.
Open the case folder
Search by case reference, open the match and read the Overview. The Overview shows the next appointment, open referrals, consent status and recent contacts. Open grouped lists for notes, services, consents, referrals and files when you need detail.
Log a service
Pick the case, enter the date, service type, mode and minutes. Add direct minutes and on-behalf minutes on separate lines. Add a short factual note with what was asked, what was provided and the next step. Save the entry when the service line is complete.
Open the secure thread
Open the case thread and exchange text or chat with the survivor. See the assigned advocate and backup coverage at the top of the thread. Attach a form or file only inside the thread, and request language support from the thread when you need it.
Book a visit
Open the calendar, choose in person, phone or video, and set the start and end time. Check for a conflict warning before you save. Assign backup coverage on the visit so a covering advocate can step in.
Survivor cases and folder
Hold one record per person. Keep enrollments, incidents, notes, consents, referrals and appointments in one folder.
Secure messages and video visits
Keep two-way text and chat inside the case. Join video visits from a one-time link in the browser.
My Day work queue
Filter by My cases, New requests, Awaiting reply, Referral pending, Follow-up due and Consent expiring. Open the linked case from each row.
Referrals with consent checks and warm handoff tracking
Send the smallest necessary information to the right agency. Check consent first, then track the referral to first connection and closure.
Check consent first
Open the consent list on the case. Confirm the receiving agency, the data types covered and the expiry date. Pause and get a new consent when consent is missing, expired or revoked.
Create and send a referral
Pick the receiving agency and service, attach only the records consent allows, add a short summary, check consent again and send. Send stays blocked until an active consent covers that agency and those data types.
Track the referral to closure
Follow sent, received, accepted, declined, needs information, connected, warm handoff, follow-up and closed in the tracker. Record the first connection date, then close with an outcome. Sent alone never counts as a service connection.
Read the case, referral and consent steps · Send a referral and track it to closure
Scheduling, backup coverage and language support
Book visits without double-booking, route work to backup coverage and offer language help before a visit starts.
Schedule and follow up
Book, reschedule or cancel from the calendar. View the day and week by advocate and program.
Mark the visit attended, missed or cancelled. Create the follow-up from the visit and record the outcome.
Backup coverage
Set a named backup or coverage team for each program and the response time.
View unassigned requests in the queue. Assign or reroute a request when the assigned advocate is unavailable.
Language and interpretation
Choose the language, then choose interpretation or translation and phone or video.
Confirm cost handling before the visit, save the request and add it to the visit.
Neutral reminders
Choose the channel and safe times with the survivor. Turn previews on or off.
Preview the neutral wording before you use it. Pause or stop reminders at any time without closing the case.
Try these steps with your own work
Ask for a guided demo and walk through a case, a referral and a report.
