Check consent before sharing

Staff who must confirm consent is active before any referral shares data

Numbered steps

This guide is for staff who must confirm consent is active before any referral shares data. Your role needs consents.view and consents.edit permission to view and record consent. Revocation needs consents.revoke permission. You will be able to open the consent list, check scope and expiry, confirm the agency and record a revocation.

  1. Open the consent list

Open the case folder, select Consents. View current, expiring, expired and revoked consents and what each one allows.

  2. Check scope

Read receiving agency, data types covered, purpose, signed date and signature method. Scope names the agency and the information types that may be shared.

  3. Check expiry and status

Confirm status is active. Expiry and revocation take effect at once. Expired consents are past expiry date. Revoked consents show revocation date and method.

  4. Confirm agency

Confirm the receiving agency matches the agency on the referral and that shared fields are inside scope. A referral cannot send personal fields unless an active consent covers that receiver, scope and date. One adult cannot consent for another adult.

Revocation steps and what stops at once

A survivor can revoke at any time from the portal or secure link without a full staff account.

  1. Open the consent record

Open the active consent and select Revoke consent.

  2. Record revocation date and method

Enter revocation date and method. Confirm future sharing stops at once.

  3. Keep the signed original

Keep the signed original for audit. Past sharing stays in the audit history. New sharing is blocked.

A new consent supersedes the old one instead of editing it. Do not edit a signed consent in place. Create a new consent when the survivor agrees, and keep the prior version readable for audit.

What to do when consent is missing or expired

Pause the referral. Do not send.

Contact the survivor through the safe contact method with neutral wording only. Show plain language scope and expiry before signing, and show a receipt after signing. The notice carries no survivor, program or case detail.

Record the new consent with receiving agency, scope, purpose, signed date, expiry date and signature method. Confirm the new consent is active before you return to the referral and select Send.

  • Referral stays in draft while consent is missing or expired
  • New consent shows scope, expiry and signature reference
  • Receipt is shown after signing and the consent list shows the new active record
